EXECUTIVE SUMMARY
A contact record became
a conversation worth continuing.
Auspak International was generating leads through advertising. The operational gap came after capture: records were downloaded as CSV files, and the calling team often reached people more than a day later. Weekend delays could extend to three or four days.
RevSet built a custom system that brought conversations into a consolidated inbox, displayed incoming leads in a dashboard, and used a contextual AI agent to collect qualification information. The resulting record informed lead scoring and assignment to the calling team or counsellors.
Arsalan Zaffar reports approximately 1,100 agent-handled leads and 780 qualified leads who received callbacks at their selected times. RevSet handed over the system after implementation; subsequent sales and revenue were outside the measurement scope.
01 / THE CHALLENGE
Advertising generated the inquiry.
The team still had to find the context.
The initial lead records contained email addresses and phone numbers. That gave the team a way to make contact, but little of the information needed to decide who should receive a counselling call.
In the first downloaded sample, seven of 58 leads were judged qualified for transfer. This was an initial operational snapshot, not a controlled baseline. The problem to solve was the delayed conversation and missing qualification data.
More than a day before contact.
Three to four days over weekends.
02 / THE IMPLEMENTATION
Capture. Understand.
Assign with context.
The delivery connected four parts of the lead process. Each addressed a specific gap between an incoming inquiry and a useful human conversation.
- 01
One place for the conversations
A consolidated inbox brought lead conversations together. The team could follow the interaction as part of a connected process rather than working only from downloaded contact lists.
- 02
A dashboard for incoming leads
A custom dashboard made incoming leads and their status visible. Qualification information collected through the conversation populated the relevant lead fields.
- 03
Contextual qualification and scoring
The agent engaged each lead using the data already provided and asked questions to collect missing qualification information. That information supported analysis, lead scoring, and prioritization for the human team.
- 04
A next step with a responsible person
The agent could arrange a meeting or a callback, notify the responsible team member, and pass qualified leads to the calling team or counsellors. The human team continued the conversation at the selected time.
03 / THE OPERATING CHANGE
The handoff changed.
Before implementation
- Advertising leads downloaded as CSV files.
- Email and phone details with limited qualification context.
- Contact often delayed by more than a day.
- The calling team needed to uncover missing information.
After implementation
- Incoming leads handled in Auspak’s custom solution.
- Conversational answers recorded in qualification fields.
- Scoring and analysis informed lead assignment.
- Callbacks coordinated around the lead’s selected time.
The implementation lead reports that advertising inputs stayed the same. This account describes the operational change; it does not isolate a causal effect on conversion or revenue.
04 / RESULTS & HANDOVER
780 qualified leads.
A callback at the chosen time.
Approximately 1,100 leads were handled by the agent in the reported campaign intake. Arsalan identified 780 qualified leads during the final five advertising days and confirmed that these leads received callbacks at their selected times.
The system was then handed over to Auspak. The documented endpoint for this account is qualification, assignment, and the reported callback—not enrollment or a completed sale.
- 21 days
- Reported time to deliver the system and initial results.
- ~1,100 leads
- Approximate agent-handled intake; an exact dated export is not part of the published evidence.
- 780 callbacks
- Qualified leads reported to have received a call at their selected time. This is not a customer or sales count.

WHAT THIS PROJECT ILLUSTRATES
Give the human team
a better starting point.
The implementation moved qualification into the lead conversation and carried the answers into the handoff. The useful operating pattern is a connected sequence: capture the inquiry, collect missing context, assess fit, assign an owner, and coordinate the next conversation.
For businesses with a similar gap, the starting question is specific: what should the team already know when it calls the lead?

SOURCE & METHODOLOGY
About this case study
This first-party account is based on project details supplied and clarified by Arsalan Zaffar, the RevSet implementation lead, on September 28, 2026. The case narrative is written by RevSet. Client feedback is attributed separately; this account is not an independent audit.
- Client feedback: the handover quotation and speaker attribution were supplied by Arsalan Zaffar. The original testimonial record has not been independently reviewed. The quotation endorses the work; it does not separately verify the numerical results.
- Company context: Auspak’s website describes its study-abroad counselling and application services.
- Source records: the company-use-only CRM remains private. Underlying exports, message timestamps, qualification criteria, and callback logs have not been reviewed for this publication.
- Period: 21 days refers to delivery and initial results. The 780 qualified leads were reported for the final five advertising days; the exact date range and matching intake window are not established here.
- Comparability: the initial 58-lead sample and later intake are not matched cohorts. No before/after conversion multiplier is calculated.
- Measurement boundary: response-time statistics and post-handover attendance, enrollment, sales, and revenue are not claimed.
