How to choose a revenue automation partner.

Compare providers by the customer journey they can implement, the evidence they can show, and the responsibilities they will own.

A revenue automation partner should turn a defined sales-process gap into an inspectable workflow: an initiating event, approved actions, connected records, stop conditions, a responsible person, and a way to recover failures. Ask every provider to demonstrate those elements using the same sample customer journey before comparing proposals.

Start with the problem you need solved.

For a service business, the starting point might be an unanswered inquiry, a booking that never reaches the CRM, or a quote with no next action. Write that problem down before asking for an “AI system.” Include the tools involved, who owns the work today, and one anonymized example.

For example: “When a customer replies to a quote email, the next reminder still sends.” That request can be evaluated: does the provider capture the reply, pause the relevant sequence, and alert the quote owner?

Which kind of help fits?

Configure your existing software

This is a candidate when one tool already supports the needed behavior and your team can maintain it. Confirm the relevant feature, account-plan access, and exception behavior before assuming new software is required.

Hire an implementation partner

This is a candidate when the problem crosses systems or your team needs process design, integration, testing, and handover. Ask which parts are configured in a platform and which depend on custom code or third-party services.

Build a custom system

This is a candidate when a documented requirement cannot be met with the existing stack. Include ongoing maintenance, monitoring, permissions, and recovery in the decision. More custom code creates more responsibility to maintain it.

Ask every provider these seven questions.

    What event starts the workflow?

    Ask for the exact trigger and the record used to recognize it. A quote saved as a draft should not be treated as a quote sent.

    What is the source of truth?

    Ask which system owns appointment time, quote acceptance, and payment status. Inspect how other records are updated when those facts change.

    What can the AI decide?

    Separate approved answers and routine routing from pricing, scope, availability, and commercial commitments that need your team. Ask to see an unsupported question reach a human.

  4. 04

    What stops the next message?

    Test a reply, booking, cancellation, opt-out, and closed opportunity. Ask how the system checks changed state immediately before sending scheduled work.

    How does it recover from failure?

    Ask to see a failed integration and a repeated event. Inspect the alert, the owner, and whether retrying creates a duplicate record or customer message.

  6. 06

    What do we receive at handover?

    Request the agreed workflow map, access arrangements, approved copy, acceptance results, operating instructions, and support boundaries. Clarify ownership and portability of any custom work in the agreement.

  7. 07

    What does the proposal actually cost?

    Separate implementation, recurring platform subscriptions, usage charges, and support. Ask which assumptions would change the price and which dependencies your team must supply.

A demonstration you can request.

Use one fictional customer throughout. Submit an inquiry twice. Ask an unsupported question. Confirm a consultation, reschedule it, and cancel it. Then test an approved quote with a reply arriving before its next reminder. Inspect the conversation, calendar, CRM record, and owner tasks after each change.

Record expected behavior before the demo and actual behavior afterward. A polished animation can explain the intended journey; a connected test shows how a particular implementation behaves. Neither establishes a customer revenue result.

What counts as evidence?

Ask whether screenshots use sample or customer data, whether a demonstration is connected to real systems, and whether reported outcomes have a defined period and denominator. A claim about increased revenue needs more support than a count of messages sent. Client references and case studies should be genuine and shared with permission.

When evidence is unavailable, record it as unavailable. Do not fill the gap with an assumed result or treat a vendor’s platform-wide statistics as the implementer’s own track record.
