Build a plan your team can reliably deliver, explain its exact inclusions and cost, and offer it when it fits the customer’s needs. More signups are not a useful outcome if included visits are never scheduled or promised benefits exceed your capacity.
Make the agreement understandable
Write down covered equipment, included visits, exclusions, payment terms, renewal handling and cancellation process. Have the appropriate business reviewer approve the terms. Avoid vague “complete protection” language when repairs or parts are excluded. Customers should be able to explain what they are buying without interpreting a sales slogan.
Give the team a plain-language explanation
Original conversation starter: “Would you like me to explain our maintenance option? It includes [approved services] for [price and billing period]. Repairs outside those inclusions are quoted separately.” Let customers compare the plan with individual visits. A technician should not claim a system is unsafe or failing merely to create urgency.
Sell the delivery process as well as the membership
Once accepted, link the agreement to the correct property and equipment record. Schedule the included work, assign ownership for overdue visits and record renewal preferences. ENERGY STAR’s pre-season checkup guidance can help explain the purpose of maintenance, but it does not validate your plan’s price, terms or promised savings.
A practical example
Fictional example: an owner discovers that ten active agreements have no next visit recorded. The immediate task is to contact those customers appropriately and fulfill the existing promise. Selling another ten agreements before fixing scheduling would enlarge the same delivery problem.
What to do next
Review one current agreement from acceptance to its next due visit. Fix unclear inclusions or missing scheduling before expanding the sales script.
