An AI receptionist may be useful when calls go unanswered and routine intake has clear rules. Its value depends on accurate information, reliable handoff, appropriate calendar access and human backup. Test it against the calls and handoffs your office handles every day.
Define what it may do
A bounded receptionist can gather a service request, confirm approved coverage and offer a verified callback path. Decide which prices and answers are approved. Keep technical diagnosis, exceptions and dispatch promises with the responsible team unless a specific workflow has been reviewed and tested. Urgent situations need the business’s approved escalation process.
Test the awkward calls
Use fictional calls for an unclear address, unsupported service, background noise, a request for a person, an unavailable slot and a failed transfer. Inspect the saved record and alert as well as the spoken response. The caller should not hear “you are booked” when the calendar action failed. Review data access, retention and required disclosures before launch.
Compare it with realistic alternatives
Compare staffed coverage, an answering service and a bounded automated workflow using total cost and outcomes. Include implementation, usage, monitoring and human recovery. Track correct intake, accepted handoffs and unresolved calls. Counting all answered calls as recovered jobs substantially overstates what the system achieved.
A practical example
Fictional example: an after-hours caller asks for service tomorrow. The system collects the request but cannot verify dispatch capacity. It offers an available office callback and clearly states that the visit is not confirmed. The dispatcher receives the context and owns the service decision.
What to do next
Bring five redacted examples of missed or mishandled calls to a workflow review. Define a pass/fail outcome for each before selecting a platform.
