HVAC SYSTEMS / MISSED-CALL RECOVERY

Miss the ring.
Keep the conversation.

Turn eligible unanswered calls into a coordinated text conversation and a callback your office can deliver. One request, one owner, a clear next action.

Remote implementation for US HVAC businesses. Scope and fees agreed after review.

THE CUSTOMER’S NEXT STEPIllustrative demo
A call is missed
“Hi, this is Northline Heating & Air. What service do you need, and what ZIP code is the property in?”

Illustrative opening for an eligible messaging conversation. The production message uses your approved identity and required opt-out wording.

The customer replies
“Replacement estimate, 75001. Please call after 4.”

The request joins the same record. Repeat calls remain visible without starting another copy of the text sequence.

A person owns the callback
Office callback · requested after 4 · awaiting confirmation

The office confirms actual availability. A requested time is not presented as a confirmed appointment.

Fictional example. No calls, messages or bookings are made.

THE STARTING POINT

A missed call. A useful reply.

For teams that lose context when a caller tries again, texts another number or leaves a voicemail. We connect the call event to the conversation and the office queue.

01

Phone-event review

Identify reliable unanswered-call events across the numbers and forwarding routes in scope.

02

Message and permission rules

Configure approved wording, channel eligibility, opt-out handling and business-hour behavior.

03

Repeat-call protection

Keep activity history while controlling duplicate events and repeated initial messages.

04

Office recovery queue

Assign replies and delivery failures, define backup ownership and document how to pause sending.

BEFORE WE BUILD

Your tools.
Your operating rules.

Bring business numbers, phone and messaging providers, existing automations, your inbox, permission records and callback coverage. We check for overlapping senders before enabling a new workflow.

SMS does not answer the original voice call or establish technician availability. Messaging depends on the approved use case and channel permissions. Urgent requests follow your company’s approved escalation process.

WHAT ACCEPTANCE LOOKS LIKE

Show the behavior.
Check the record.

  • An answered call does not trigger the missed-call message.
  • A repeated event does not send the same text twice.
  • An opt-out cancels ineligible future messages.
  • A failed text creates a visible exception instead of a contacted status.

FROM REVIEW TO HANDOVER

A release your team
can actually run.

Scope the first workflow.

Agree the trigger, permitted actions, connected tools, owners and exclusions. Delivery timing follows this access and scope review.

Build and test together.

Review the configured behavior with sample records. Resolve launch blockers before opening the agreed customer route.

Leave a clear operating guide.

Receive the approved configuration, test results, pause procedure and handover. Software costs and ongoing support are explicit proposal items.

EVALUATE THE WORK

See the work behind the system.

Our named Auspak International project covers AI qualification and chosen-time callbacks in education consulting. Explore how the intake, qualification and handover were built, then discuss how those principles apply to your process.

BEFORE YOU DECIDE

Your questions, answered.

Can we keep our number?

We review the existing provider, messaging capability and forwarding route. Number changes are not assumed to be necessary.

What if the caller cannot receive texts?

Delivery failures remain visible and follow the agreed alternative contact process. We do not mark the person reached just because a send was attempted.

Can this work alongside an answering service?

Yes, when the call outcomes and responsibilities are clear. We prevent the same inquiry from triggering competing recovery paths.

ONE WORKFLOW. A CLEAR FIRST STEP.

Bring the part
that gets stuck.

In a 30-minute introductory call, we’ll review your current process and identify what needs checking to scope an implementation.
