HVAC SYSTEMS / ESTIMATE FOLLOW-UP

The estimate is sent.
The conversation continues.

Give every open estimate a next action. Useful reminders, questions routed to the estimator and follow-up that stops when the decision changes.

Remote implementation for US HVAC businesses. Scope and fees agreed after review.

THE CUSTOMER’S NEXT STEPIllustrative demo
An approved estimate goes out
Estimate Q-104 · version 2 · awaiting customer response

The workflow starts from the current sent estimate, not a draft or an old price.

The customer asks a question
“Does this include the electrical work?”

The reply pauses the generic sequence and creates an estimator task. The assistant does not improvise a change to scope.

Acceptance, decline, revision and opt-out have different actions. Accepted is not the same as paid or scheduled.

Fictional example. No calls, messages or bookings are made.

THE STARTING POINT

Help the customer decide.

For businesses with good estimates sitting in disconnected inboxes. We connect the current quote, customer response and estimator responsibility so your team can follow through with context.

01

Estimate-state mapping

Define quote identifiers, versions, owners, decision states and authoritative records.

02

Approved follow-up

Write messages and agree timing by estimate type and customer preference.

03

Stop and restart rules

Pause on replies; handle acceptance, decline, revision, expiry and contact preferences.

04

Pilot and operating guide

Test interruption paths and duplicate events; document who can resume a paused sequence.

BEFORE WE BUILD

Your tools.
Your operating rules.

Bring your quoting software, a small redacted sample of open and revised estimates, existing templates, customer response channels and the estimator responsible for decisions.

Your people approve equipment, warranties, financing language, discounts and changes to scope. The system uses current approved records; it does not invent a commercial offer or infer payment from positive sentiment.

WHAT ACCEPTANCE LOOKS LIKE

Show the behavior.
Check the record.

  • A reply just before a send pauses the reminder.
  • A revised estimate cancels messages for the old version.
  • Acceptance stops the sales reminders.
  • A failed status lookup pauses sending and raises an exception.

FROM REVIEW TO HANDOVER

A release your team
can actually run.

Scope the first workflow.

Agree the trigger, permitted actions, connected tools, owners and exclusions. Delivery timing follows this access and scope review.

Build and test together.

Review the configured behavior with sample records. Resolve launch blockers before opening the agreed customer route.

Leave a clear operating guide.

Receive the approved configuration, test results, pause procedure and handover. Software costs and ongoing support are explicit proposal items.

EVALUATE THE WORK

See the work behind the system.

Our named Auspak International project covers AI qualification and chosen-time callbacks in education consulting. Explore how the intake, qualification and handover were built, then discuss how those principles apply to your process.

BEFORE YOU DECIDE

Your questions, answered.

Can we use our existing quoting software?

We first inspect native automation and supported integration access. A custom connection is scoped only where a real gap remains.

Will every estimate receive the same sequence?

No. Repair, replacement and commercial estimates may need different timing. Customer-agreed follow-up dates take priority over a generic cadence.

Do you guarantee more closed jobs?

No. We agree observable acceptance criteria for the workflow. Later commercial results depend on the offer, customer, team capacity and delivery as well as follow-up.

that gets stuck.

In a 30-minute introductory call, we’ll review your current process and identify what needs checking to scope an implementation.
