HVAC SYSTEMS / AI RECEPTION

The office closes.
The next step stays clear.

Give routine and after-hours inquiries a useful conversation, an accurate record and a human owner. Configured around your services, phone routes and real availability.

Remote implementation for US HVAC businesses. Scope and fees agreed after review.

THE CUSTOMER’S NEXT STEPIllustrative demo
The caller explains
“I’m looking at replacing our system. Could someone call me after work?”

The assistant collects the service location and checks approved coverage. It keeps the caller’s request in their own words.

The next step is confirmed
“Your office callback is Thursday at 3:30 PM Central. This is a phone call, not a technician visit.”

That confirmation is shown only after the calendar action succeeds. An unavailable calendar creates an office task instead.

The office takes over
Replacement inquiry · callback confirmed · assigned to office

The owner receives the request, contact details, selected time and unanswered questions together.

Fictional example. No calls, messages or bookings are made.

THE STARTING POINT

A better first conversation.

For an owner answering calls between jobs, or an office that needs overflow coverage. We design the intake and handoff before configuring the voice agent.

01

Call-routing plan

Document the current numbers, overflow rules, voicemail and after-hours route. Preserve a defined rollback path.

02

Approved conversation

Configure coverage, services, hours, questions and escalation language with your team.

03

Connected records

Map intake fields, a supported calendar and the owner notification to your existing tools.

04

Acceptance and handover

Test corrections, unavailable slots, failed transfers and repeat inquiries; deliver the operating instructions.

BEFORE WE BUILD

Your tools.
Your operating rules.

Bring your phone provider, calendar or field-service platform, service coverage, office hours and five redacted examples of real calls. Name the person who approves pricing language and the person who receives exceptions.

Your team retains diagnosis, equipment recommendations, dispatch decisions and commercial exceptions. We scope supported integration actions before promising direct booking into a field-service system.

WHAT ACCEPTANCE LOOKS LIKE

Show the behavior.
Check the record.

  • A caller corrects their phone number: the final value is saved.
  • Two callers choose one slot: the system does not confirm it twice.
  • A transfer goes unanswered: the fallback creates a visible owner task.
  • A price is not approved: the question goes to a person.

FROM REVIEW TO HANDOVER

A release your team
can actually run.

Scope the first workflow.

Agree the trigger, permitted actions, connected tools, owners and exclusions. Delivery timing follows this access and scope review.

Build and test together.

Review the configured behavior with sample records. Resolve launch blockers before opening the agreed customer route.

Leave a clear operating guide.

Receive the approved configuration, test results, pause procedure and handover. Software costs and ongoing support are explicit proposal items.

EVALUATE THE WORK

See the work behind the system.

Our named Auspak International project covers AI qualification and chosen-time callbacks in education consulting. Explore how the intake, qualification and handover were built, then discuss how those principles apply to your process.

BEFORE YOU DECIDE

Your questions, answered.

Can we start with after-hours calls only?

Yes. A limited routing scope is a practical starting point. We confirm the hours, fallback and review owner before launch.

Does this replace our office team?

The initial scope covers agreed intake and handoffs. Dispatch, exceptions and customer commitments still need assigned people.

What affects the cost?

Phone routes, call volume, calendars, integration access, conversation complexity and monitoring responsibilities. Software usage and implementation are identified separately in the proposal.

ONE WORKFLOW. A CLEAR FIRST STEP.

Bring the part
that gets stuck.

In a 30-minute introductory call, we’ll review your current process and identify what needs checking to scope an implementation.
